The Talent Acquisition Operations Senior Coordinator will play a key role within the Talent Optimization team by improving the driving process and operational efficiency in recruitment activities and supporting the execution of all TA Operations initiatives. This role will work closely with cross-functional team members to optimize recruitment workflows and ensure seamless integration with systems and data. Additionally, the Talent Acquisition Operations Senior Coordinator will collaborate with Recruitment Marketing to align recruitment processes with branding and candidate engagement strategies. This role is instrumental in identifying and implementing process improvements to enhance the candidate’s experience and support organizational talent goals.

 

Essential Functions

  • Ensure that recruitment processes, referral programs, and candidate engagement activities are efficient, compliant, and aligned with organizational goals.
  • Own the development and implementation of recruitment process optimization initiatives.
  • Create and maintain clear, standardized documentation for all recruitment processes to ensure consistency across the Talent Acquisition team, regularly reviewing and auditing recruitment workflows to identify bottlenecks, redundancies, or areas for improvement, implementing changes to streamline operations.
  • Manage the Employee Referral Program including tracking, administration, and governance.
  • Design and deliver training to the Talent Acquisition team on new processes or system updates, ensuring smooth adoption and consistent application.
  • Lead the end-to-end execution of talent acquisition projects, from planning and implementation through closeout and analysis.
  • Partner with the Talent Systems Analyst to streamline recruitment workflows, optimize system functionalities, ensuring that tools are used effectively to support recruiting operations, and maintain system hygiene and integrity.
  • Collaborate with the HR Data Analyst to leverage insights from PowerBI and Phenom data, using these insights to evaluate and enhance recruitment processes and overall efficiency.
  • Work with the Recruitment Marketing Specialist to align recruitment processes with marketing strategies, supporting cohesive and effective candidate attraction and engagement.
  • Provide ad-hoc support across Talent Acquisition Systems, Reporting, and Marketing as needed.

Required Skills & Abilities

  • Strong ability to analyze Talent Acquisition workflows and identify areas for increased efficiency, compliance, and effectiveness.
  • Proficient in interpreting data and metrics to drive actionable insights and improve recruitment processes.
  • Skilled at managing multiple tasks, timelines, and stakeholders to ensure successful process updates and implementations.
  • Keen eye for detail to ensure accuracy and consistency across processes and documentation.
  • Ability to work effectively across teams, including systems, data, and marketing, to align processes and achieve shared goals.
  • Capable of diagnosing process challenges and devising strategic, practical solutions.
  • Strong written and verbal communication abilities to convey complex information clearly to various audiences.
  • Comfortable with change and skilled at guiding teams through updates to systems and processes.
  • Ability to train team members on new or updated processes, fostering a smooth transition and consistent application.
  • Commitment to staying informed about industry trends and best practices in recruitment and process management.

Required Credentials

  • Bachelor’s Degree in Business Administration, Human Resources, or a related field.
  • 3+ years of experience in Talent Acquisition with direct experience in operations and process improvement.
  • Knowledge of recruitment processes and familiarity with recruitment systems (ATS, CRM, Job Boards).
  • Proficient with data-driven tools (e.g., Excel, PowerBI, Phenom Analytics) to measure process performance and identify improvement areas.
  • Demonstrated ability to work effectively with systems, data, and marketing teams to achieve operational objectives.
  • Strong organizational abilities and problem-solving skills.
