The Human Resources Compliance Generalist provides operational and administrative support to the HR Compliance and Onboarding function and serves as a key executor of day-to-day compliance activities. This role is responsible for maintaining accurate records, tracking licensure and certification requirements, supporting audits and reporting, and ensuring compliance processes are followed consistently and without gaps or lapses.

 

The role supports compliance operations by coordinating documentation, tracking requirements, and maintaining accurate records to support audits, surveys, and external reporting requirements.

 

The Generalist applies established policies, procedures, and escalation protocols with a high level of attention to detail and independent judgment. This role partners closely with the Manager of HR Compliance & Onboarding and internal stakeholders to support compliance readiness, identify risks or process gaps, and recommend improvements while promoting a culture rich in positive employee satisfaction and engagement within the organization, maximizing the impact of people, our most valuable asset.


Essential Functions

  • Coordinate regulatory compliance activities related to required clinical licensure and certifications in accordance with established policies and procedures.
  • Track licensure, certifications, competencies, and other post-hire compliance requirements to ensure deadlines are met and no gaps or lapses occur.
  • Monitor compliance calendars and communicate upcoming deadlines and requirements to employees and managers.
  • Review and verify monthly Name Verifications in alignment with defined processes.
  • Serve as the system administrator for the EverCheck licensing monitoring system.
  • Conduct routine compliance audits in a consistent and timely manner following established audit protocols.
  • Prepare documentation and data files for internal audits, external audits, surveys, and regulatory reviews.
  • Compile audit findings and report results to the Manager of HR Compliance & Onboarding.
  • Maintain employee files and document management systems to ensure accuracy, consistency, and Joint Commission survey readiness.
  • Enter, update, and maintain employee information in HRIS and compliance tracking systems to ensure accuracy and timeliness.
  • Generate, analyze, and distribute compliance-related reports on a daily, weekly, monthly, annual, and ad hoc basis.
  • Validate data integrity, identify discrepancies, and escalate issues as appropriate.
  • Ensure associates meet compliance requirements related to onboarding, transfers, promotions, and role changes, including required documentation, licensure, and competencies.
  • Partner with HR and People Operations to support consistent onboarding and role transition processes.
  • Initiate disciplinary or performance improvement workflows associated with expired licensure or required certifications, in accordance with established procedures and under the direction of HR leadership.
  • Maintain ongoing communication with affiliated hospital partners regarding employee clearances, badge access, and terminations, including coordination of badge returns and system access (e.g., EMR).
  • Track and communicate hospital-specific annual compliance initiatives, including flu season requirements and annual learning or compliance activities.
  • Apply established HR compliance policies, procedures, and workflows with a high level of attention to detail and independent judgment.
  • Identify recurring issues, documentation gaps, or process inefficiencies and provide recommendations for improvement.
  • Consistently meet competency and knowledge requirements deemed necessary by PT Solutions’ Leadership.
  • Participates and actively assists in meeting the HR team objectives
  • Perform other duties as assigned.
  • All regulatory interpretation, compliance risk determinations, and policy decisions are escalated to the Manager of HR Compliance & Onboarding.

Required Skills & Abilities

  • Strong computer skills with advanced working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook; ability to work efficiently with spreadsheets, tracking tools, and reporting systems.
  • Excellent written and verbal communication skills, with the ability to clearly communicate requirements, deadlines, and follow-up needs to employees and managers.
  • Strong organizational and prioritization skills with exceptional attention to detail and accuracy.
  • Ability to manage multiple priorities and deadlines in a fast-paced, compliance-driven environment.
  • Working knowledge of federal and state employment regulations and compliance requirements, with the ability to apply established policies and procedures and escalate questions or concerns as appropriate.
  • Ability to analyze, validate, and maintain data using Excel and reporting tools to ensure compliance accuracy and audit readiness.
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
  • Strong critical-thinking skills with the ability to identify gaps, trends, or inconsistencies and recommend process improvements.
  • High level of accountability, follow-through, and ownership of assigned work.

Required Credentials

  • Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or a related field preferred.
  • 2–4 years of experience in HR operations, compliance, or a related administrative or generalist role.
  • Experience working with HRIS systems and compliance tracking tools; reporting and data analysis experience preferred.
  • Experience supporting audits, surveys, or regulatory documentation preferred.
  • Experience working in healthcare or other highly regulated environments preferred
