The Payroll Administrator plays a crucial role in the Payroll Department and is responsible for managing and overseeing PT Solutions’ payroll processes. This role helps ensure accurate processing and recording of our company’s payroll, that are our employees are compensated accurately and timely. Ensuring the company is compliant with federal, state, and local regulations is critical to our employees’ satisfaction and our company’s standing.

Being knowledgeable on FLSA procedures, hourly and salary regulations, both federally and state, exempt and non-exempt classification, all while preserving the integrity of our payroll operations and employee trust.

 

Essential Functions:

  • Processing of bi-weekly, multi-state payrolls, for Hourly and Salaried employees, including reporting of pre-check reports, payroll registers, check registers, GL reports, cash analysis, etc.
  • Back up processing of weekly, multi-state, off-cycle payrolls, for Hourly and Salaried employees.
  • Reviewing/reconciling hours worked, attendance, paid time off, and leave, to determine accurate wage amounts, prior to payroll finalization.
  • Auditing pre-check register for accuracy, earnings, deductions, tax withholdings, prior to payroll finalization.
  • Address employee inquiries concerning earnings, deductions, voluntary and involuntary withholdings.
  • Working with Payroll Director to review, audit, and/or update our payroll software with regulatory payroll, tax, employee status, and/or benefit changes.
  • Managing direct deposit and positive pay, reducing late or missed payments for employees
  • Managing pay corrections, including bank liaison for reversals of error wage payments.
  • Working closely with co-departments to ensure supplemental wages, for example, sign on bonuses, severance pay, etc., is paid timely and accurately, and that proper supporting documentation is received and recorded prior to payment.
  • Set up wage attachment vendors in HRIS system.
  • Verifying back-end reports tie out to the processed payroll and remitting those reports to co-departments. GL Summary and Detail, Cash Analysis reports, etc.
  • Generating year end reports and tax documents timely to our employees, and our co-departments, ensuring company compliance with Federal and State laws.
  • Assisting on Adhoc projects as needed, and requested, by Director of Payroll, Assistant Controller, and/or Corporate Controller

Required Skills & Abilities:

  • Associate’s Degree preferred.
  • A minimum of 2-4 years of in-house payroll processing, multi-state payroll and taxation, and wage attachment processing.
  • Strong understanding of payroll principles, wage attachment and payroll tax laws, payroll and tax regulations.
  • Must be able to apply strong analytical knowledge on large amounts of data, to identify errors, communicate findings, and resolve errors.
  • Must be able to communicate effectively with employees, managers, tax agencies, wage attachment creditors and court personnel.
  • Must have demonstrated skill in managing multiple tasks, prioritizing daily responsibilities and crises to handle a heavy workload.
  • Must be able to work successfully in a fast-paced environment.
  • Must have exceptional attention to detail, drive for data integrity and strong planning, and organization.
  • Knowledge of federal, state, and local employment laws and regulations.
  • Knowledge of UKG or similar payroll software.
  • Must be proficient in excel, pivot tables, v-lookup, x-lookup, etc.
