The Onboarding Coordinator is responsible for ensuring new hires are onboarded effectively and efficiently for the areas that will be assigned to them. They are the first point of contact for new hires and hiring managers, in regards to onboarding inquiries. The Onboarding Coordinator reports directly to the Onboarding Manager.
Essential Functions:
• Ensure communication and hospital clearance is completed and relayed to the new hire and the hiring team
• Send HR and or recruiting related correspondences, eg. Applications, online documents, offer letters, to include accuracy and data compliance, etc.
• Document, track and maintain applicant records and disposition of engagements in Jobvite.
• Provide high-level customer service to internal partners; recruiter, hr business partner, hiring manager and new hires/applicants. Must maintain professionalism at all times.
• Develop, and suggest enhanced onboarding tasks
• Assisting in the coordination of new hire orientation
• Ensure rules and policies are being followed, or escalate to leadership for approval
• Responsible for creating an exceptional on-boarding experience for all new hires
• Facilitates onboarding process including communication to new hires and their hiring managers and completion of all onboarding requirements
• Provide regular and real-time updates on onboarding status to the new hire, hiring manager, and other parties. As well as coordinating start details
• Maintain employee files through on-boarding process
• Enter and manage background and drug testing process for new hires. Partner with Internal HR for any adjudication required
• Auditing of all new hire paperwork and documentation in Jobivte
• Ensure a smooth hand off of new hire relationship to HR and hiring managers.
• Excellent verbal and written communication skills
• Demonstrated professionalism, discretion, and goodjudgment
• Ability to interface comfortably with associates at all levels of the organization
Required Skills and Abilities:
• Strong interpersonal, oral (includes telephone skills) and written & verbal communication skills.
• The ability to work independently and in a group setting, high integrity, reasoned and thoughtful judgment, a sense of urgency and analytical and intuitive skills.
• Strong follow-through and results tracking to achieve measurable targets.
• Good organizational skills and an ability to prioritize to meet deadlines.
• Strong customer service skills, customer service driven, positive attitude.
• Ability to use all necessary office equipment, faxes, copiers, etc.
• Required to be proficient in Windows based technologies (ex. Word, Excel).
• Excellent time management skills.
• Creativity and strong organization skills.
Required Credentials:
• High School Diploma or GED required
• 4-year college degree preferred
• Efficient in Microsoft applications
